What is Gymcatch?
Gymcatch is an application (App) helping us to manage scheduling sessions and has the option to manage payments too. You can download the app to your phone, or access it through the web.
It is for 1-2-1 sessions and small group sessions.
I put it in place to give control and visibility of exactly where you stand, and can plan ahead for holidays or things that life brings. Hopefully it will also make it quicker for you to find if there is an alternative option for you to change your session to. Managing scheduling yourself also means you don’t have to wait for me to respond.
As with all new things, there have been some bumps and issues. There have been a few technical issues that have already popped up, and I’m knocking them down one by one. So far it has been pretty reliable, which is good. Most people find it easy to use once they are familiar with it.
- How is Gymcatch useful?
- If all sessions can be booked and managed through the app, it will help you to know how many sessions you have/ when to pay a new batch. Cancellations and refunds of credits (when cancelled within the 24 hour or more period) are easier to manage.
- Payments can be made through the app.
- If you fancy an extra session, or want to move your session, it should be easier to see your options as I should be able to make cancelled sessions visible to all.
- You will need to book (and pay for) your sessions in advance. This is easier depending on how you choose to pay. If you want to pay as you go, you can book a session per payment. If you have bough a block of 12, or a monthly, you can book all of your credits in advance.
- You will need to cancel a session you can’t/ don’t want to attend in advance – within the 24 hour window to preserve your credit for another time. This gives anyone else the best opportunity to take your slot if they need it. Your session is already prepared by 24 hours in advance.
- 1-2-1 Sessions
- Your session remains your session unless you cancel that session or move your time with me permanently to another time/ day. You should be able to see your planned sessions and any publicly available (like the small group/ SGPT) from your profile.
- Other clients cannot see your 1-2-1 session unless I open it to all, or to a specific person. So even a cancelled session doesn’t automatically become visible to everyone else.
- Other clients could book your session for any that you are on holiday/ cancel. And likewise, you can find a swop to suit you sometimes in the same way.
- Small Group session
- All group sessions are visible to all, but as per the current practice, your space is allocated to you until you tell me otherwise. I prefer that there isn’t relentless competition for a place. If you would like to attend a small group that you don’t usually, please message me, it is usually possible, but I make sure regulars have first right of refusal. This is also why booking for small group sessions closes 24 hours before the session.
- How do I pay?
- First option – you can pay like normal into my account (1/4/6/12 sessions), and then I add the credits for you in Gymcatch for you to book yourself in.
- Second option – you can buy blocks/ session passes/ monthly options directly in the app. If you prefer not to, it won’t be a problem. You may need to set up a Stripe account which is just a payment mechanism. A few clients have had an issue attaching a payment card. This seems to relate to Stripe and certain cards. Let me know if this happens to you. If you are uncomfortable with anything, please let me know and let’s see what we can sort to make it as easy as possible for you. I do have some clients who still prefer to pay cash, standing order etc, I can accommodate your preferences.
- I have separated 1-2-1 packages and small group packages, as there may be times that you can do one and not the other and need to cancel/ change one. I apologise that this means you make two purchases. If you don’t like doing that, you can pay directly to my account in one payment for both, and I can allocate you the credits in Gymcatch.
- What do the package/ pass/ membership options mean?
- Bundles: You can purchase a set of 4, 6 or 12 sessions (either the usual one hour sessions, or half hour sessions). Each of these is a credit for a session. There is scalable value per session to buy a set. This is for 1-2-1 personal training.
- There are options for 4,6, 12 small group sessions. These are all at a standard rate, but bundled for your convenience of booking.
- Passes: This is the PAYG option – one 1-2-1 session, or Small Group Training class as specified.
- What if I now prefer to change from pay as you go to blocks/ or vice versa?
- You are free to change your preferred option as soon as your current one ends. Please let me know if you do this.
- What happens if I can’t make the session?
- If you need to cancel, please do it within a minimum of 24 hours before your session to restore your credit for another day. Please discuss any emergency circumstances. You can go into your bookings and cancel the one you need to. It will send me a notification, but please do text me as per normal as I won’t see your notification while I am coaching. As sometimes things can go wrong, or people forget to book, please always message me too when you can’t come, or change a booking as a way of double checking.
- How do I see if there are other sessions available?
- Any sessions that are open to you (your session or ones opened to you) should appear as options in your ‘schedule’ view. I will free up any cancellations for other clients to use. From time to time if clients change sessions a new weekly option will become available for anyone on my waiting list.
- Why can I see more sessions than I participate in?
- Sessions like small group training and open sessions (not yet booked) are viewable and available to all clients. Your schedule should include your sessions (as you have been granted access to the session time/ day we’ve agreed). Occasionally, as I plan ahead in batches, you may notice your up coming sessions are not yet open. If you are booking ahead planning, and want me to sort this more quickly, please let me know!
- What do I do if it is driving me crazy and I can’t figure it out?
- I will help you in person! Worst case scenario, I can manually help to sort your sessions when you are in for your session. We can even do this every week, my pleasure. I have to cut down on the time it is taking to manually retrospectively sort sessions for those not yet using Gymcatch.
- What happens if I need to find a different session more permanently as life needs a change of schedule?
- Life happens! Please discuss this with me and we can pick the best alternative for you.
- What if I want to bring someone else?
- Please discuss this with me! It’s always great to have someone try a small group session, or join you in a 1-2-1, I’ll just need to arrange for the Par-Q and initial chat so I can best look after them in a session
- What if I have already used Gymcatch before?
- If you are already known to Gymcatch (by email) it won’t let me automatically add you. You may have used Gymcatch to book a yoga class or something with another fitness provider before. You can search for Blissfit in the app (please download it again if you haven’t got it currently to hand). Once you connect/ follow Blissfit, I will be able to see you and can add you to your sessions.
- Do I have to fill the participation info/ par-q in again?
- You may get asked to complete a form on Gymcatch that lets me know that you are safe to exercise/ participation info. Please update this if anything has changed for you health-wise/ medication/ injury. Unfortunately it will ask you to do this automatically in the system if I haven’t added you (when you are already known to Gymcatch, for example). I can override it if you have just filled in the one on my site.
